Compliance Robot Overview: Logical Steps, a Simple Process
To help RTOs navigate from the old Standards to the Revised Standards (2025), TLRG has developed a system that guides you through the new Standards and explains what each requirement means, provides suggestions and examples of types of evidence that could show how the organisation is meeting the requirements of the Standards.
Easy Navigation
Use the Main Menu and Dashboard to move easily around your system.
The Main Menu is your central navigation point, allowing you to move to different sections of the system:
- The Dashboard: This is where you access the Standards sections: Outcome Standards and Compliance Standards.
- File Management: Upload, manage, delete files and links added to the system.
- System Settings: Manage your Organisational Settings and Profile, Manage Users, and Notification settings.
Standards Mapping
The system addresses the Outcome Standards and the Compliance Standards. The down/up arrows open and close sections.
Address the Requirements
For each requirement of the Standards, add evidence of compliance, and explanations for each evidence item, giving details of how the evidence shows the requirement is being met/addressed.
The Compliance Standards sections also include Yes/No/Not Applicable check boxes. The option to attach evidence and provide explanations is presented when the Yes option is selected.
Evidence
The Compliance Robot System allows you to attach evidence files, links or images and to provide justifications for how the evidence shows that each requirement is addressed.
Use the text box to provide the explanation/justification. Ensure you click the Save Explanation button before moving on. Use the + Add Evidence button to add evidence. This can be uploaded directly to the item, selected from files already uploaded, or link to a file on an online platform (e.g., SharePoint, DropBox, Google Workspace etc.).
Any evidence attached to requirements is filed and can be viewed via the File Management menu item. From here you can view existing items via the folders, upload files, or create new folders ( + button above the folders).
Existing files can also be viewed, edited, downloaded, or deleted using the 3-dots next to the file name and details.
Recently deleted files can be viewed via the 3-dots next to the Upload File button.
Track Progress
Quickly mark the status of sections and use the Dashboard to see the progress of work at a glance.
Track progress on each Standard section by clicking on the drop-down menu alongside each section.
See at a glance if evidence and explanations have been added against each point of the standards. A green tick indicates the section has been addressed.
Progress Overview
See overall progress at a glance from the dashboard. The progress tracker reflects the sections that have been marked as Complete.
Secure Reports
Once evidence and explanations have been completed a password protected pdf report can be exported with all evidence files linked for viewing. Perfect for reviews and audits, this report will also highlight areas that have not been addressed and may require further consideration and work.
You can choose the Export Report option to download the PDF report, or email it directly to yourself or others via the Share option. With each option you can nominate the password that must be used to access the report or any evidence files.

Use or nominate a password, copy the password and export the report as a pdf download.
Share Report Screen
Enter the recipient details (name and email address), set the password or edit the email body message and then click Submit to send the report.
User Management
With multiple user accounts included, and different access levels, get the people involved who need to contribute simply and quickly. Access is secure, with account passwords and One Time Passcodes (via email or authenticator app) required.
Access and manage user accounts via the Settings then Manage Users menu items.
From here you can see active and disable user accounts, and edit user settings via the pencil button.
There are 3 user role access levels available, the functions of which are shown in the below table.
